Client Portal Data (service.ictally.com)

When you use our Client Portal, we additionally collect and store:

  • Login credentials (email and encrypted password)
  • Service history, work orders, and technician visit records
  • Invoice and payment records (amounts, dates, payment methods)
  • Project documentation, photos, and site notes
  • Location data for multi-site account management
  • Communication logs between you and our team

Portal data is stored in an encrypted database and accessible only to authorized ICTAlly personnel assigned to your account.

Managed Network Services Data

For clients enrolled in our Managed Network Services, we may collect network performance data as part of our monitoring obligations:

  • Network device status, uptime, and health metrics
  • Bandwidth usage and traffic patterns (aggregate, not content)
  • Firewall event logs and security alerts
  • Wi-Fi access point performance data
  • Hardware inventory (device types, firmware versions)

ICTAlly does not monitor, inspect, or store the content of your network traffic. We collect only metadata necessary for performance monitoring and security.

Network monitoring data is retained for the duration of your service agreement plus ninety (90) days, after which it is securely deleted.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Respond to your inquiries and service requests
  • Provide, maintain, and improve our services
  • Send project updates and service communications
  • Improve our website experience and content
  • Comply with legal obligations and protect our rights
  • Communicate about service offerings you may find valuable

You may opt out of marketing communications at any time by contacting us or using the unsubscribe mechanism provided in any marketing email.

3. Third-Party Services

ICTAlly may use trusted third-party service providers to help operate our website and deliver services. These may include:

  • Vercel — Website hosting and deployment
  • Neon — Secure, encrypted database hosting (SOC 2 compliant)
  • Analytics services — Anonymous website usage tracking
  • Payment processors — Secure payment handling (as needed)
  • Microsoft 365 — Calendar integration and team communication

These providers are bound by their own privacy policies and only receive the information necessary to perform their services.

ICTAlly LLC does not sell, rent, or trade your personal information to any third party.

ICTAlly LLC takes the security of your personal information seriously. We implement industry-standard security measures to protect your data, including:

  • SSL/TLS encryption for all data in transit
  • Secure server infrastructure with access controls
  • Regular security assessments and updates

While we strive to protect your personal information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to maintaining the highest practical standards.

ICTAlly LLC does not sell personal information. We will not discriminate against you for exercising any of your privacy rights.

Tennessee Residents (TIPA): Under the Tennessee Information Protection Act (effective July 1, 2025), Tennessee consumers have the right to:

  • Access personal information collected about you
  • Delete personal information you have provided
  • Obtain a portable copy of your data
  • Opt out of targeted advertising and sale of personal information

ICTAlly LLC does not sell personal information or engage in targeted advertising based on personal data. As a Tennessee-based company, we are fully committed to compliance with the TIPA.

Residents of other states with privacy legislation (Virginia, Colorado, Connecticut, etc.) may have similar rights. Please contact us to make any privacy-related request.

8. Children's Privacy

Our website and services are not directed at children under the age of thirteen (13). ICTAlly LLC does not knowingly collect personal information from children under 13.

If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as promptly as possible.

If you are a parent or guardian and believe your child has provided us with personal information, please contact us at contact@ictally.com so we can take appropriate action.

9. Data Retention
